Dear IEEE Ukraine Section Members,

For organization of the IEEE Ukraine Section and its Subunits Conferences, the recruitment of volunteers to the Organizing Committees is announced. To apply, please fill out the form: https://forms.gle/Kj5BgqZn2mQwBw9r5

After the IEEE Ukraine Section and its Subunits approve the Organizing Committee, the volunteers indicated in the form will receive a notification by email.

Please pay attention to the following:
– Dates and venues must be submitted for 5 – 10 next conferences (mandatory for 2023 – 2028, and optionally for 2029 – 2033). MoUs will be registered as one document for all Conferences. The next Conferences will be registered one at a time, after each of the scheduled will finished.
– Please provide information about OrgCom Chair, TPC Chair, Publication Chair, Financial Chair.
– The Chair of the Organizing Committee must be an IEEE member. During wartime, only OrgCom Chair position is necessarily connected with membership. After wartime, TPC Chair, Publication Chair, Financial Chair positions will also be linked to an IEEE membership requirement.
– The website and official conference email must be hosted by ieee.org.ua
– Conference paper management system are also located exclusively on a single IEEE Ukraine Section platform for all conferences.
– Some particular technical topics may be included in the Conference program if the relevant technical Section sub-units (chapters) have agreed to sponsor the Conference or if the Ukraine Section has granted an exception.
– All conferences are divided into three basic types. Flagship general, flagship technical and university weeks. The main flagship conference is UKRCON, it is held in odd-numbered years, each time in different cities. The conference is aimed at unifying the entire IEEE community in Ukraine. Flagship technical conferences (for example, IEEE Ukrainian Microwave Week) are held in even years, each time in different cities. This type of conference serves as a boost for the specific IEEE Ukraine tech communities. IEEE University Weeks are organized independently or by combining IEEE conferences and are aimed at creating and strengthening the IEEE community within Universities. It can be no more than two Weeks at Universities (for example, spring and autumn). However, it is preferable to have one Week per University.
– Conferences from the list do not pay registration fees for technical sponsorship to the IEEE and to the IEEE Ukraine Section. Ownership of those conferences belong to IEEE. Those conferences create the basic event architecture for IEEE Ukraine Section and its Subnits.
– You did not find a suitable conference in the list? You can propose a new conference. However, please note that we do not include duplicate conferences in our list of IEEE Ukraine conferences. Also we do not create more than two Weeks at Universities. In some cases, the conference may not be included in the list of the IEEE Ukraine Section, but receive technical sponsorship from IEEE Ukraine Section upon payment of all necessary TS fees. Also note that a new conference proposal should be at least 18-24 months before the proposed conference date.
– Regular communication and reporting will be established between the Organizing Committees and the IEEE Ukraine Section Conference Coordination Committee.
– Conference Oversight Committee consists of representatives of the IEEE Financial Sponsors.
– IEEE Ukraine Section and its chapters, as well as other subunits, were created to unite IEEE members and conduct activities on the territory of Ukraine. Therefore, all conferences are held on the territory of Ukraine. As an exception, it is also very rarely possible to schedule some conferences to be held abroad. Such circumstances should be discussed 18-24 months before the expected date of the conference. Negotiations with representatives of the IEEE Section from foreign locations are conducted by the IEEE Ukraine Section. The final decision is made by the IEEE Ukraine Section OpCom.
